GroupStayHero ("we," "us") helps groups find vacation rentals. This policy explains what information we collect, how we use it, and the choices you have. The short version: we collect your trip details and contact info to find you the right place, we share your contact details only with hosts you choose to talk to, and we do not sell your personal information.

1. Information we collect

Information you give us. When you submit a booking request, we collect:

Trip details: occasion, group size, dates or preferred month, trip length, budget range, vibe, must-haves, optional extras, how ready you are to book, and any note you add;
Contact details: your name and email address, and your mobile number if you choose to provide it;
Your communication preferences, including whether you consented to texts or calls.

If you join our host waitlist, we collect the contact and property details you submit there.

Information collected automatically. Like most websites, we and our analytics partners collect device and usage information — such as IP address, browser type, pages viewed, approximate location, and how you interact with our forms — using cookies and similar technologies (see Section 4). We also capture advertising identifiers such as Google click IDs so we can measure our ads.

2. How we use your information

To research and match vacation rentals to your request, and to email you a curated shortlist;
To introduce you to the hosts you choose, so they can respond with availability and pricing;
To communicate with you about your request by email — and by text or call if you gave that consent;
To send occasional updates about GroupStayHero, which you can unsubscribe from at any time;
To operate, measure, and improve the service, including analytics and measuring our advertising;
To comply with legal obligations and protect against fraud or misuse.

3. How we share information

Hosts you choose. We share your contact details only with hosts you tell us you want to talk to. We share your phone number with a host only if you consented to calls/texts. We do not share your contact details with other hosts, advertisers, or lead buyers.

Service providers. We use trusted vendors to run GroupStayHero, who process data on our behalf under their own contractual and legal obligations: website hosting (Vercel), database (Supabase), transactional email (Resend), and analytics/advertising measurement (Google Analytics, Google Tag Manager, Google Ads, Microsoft Clarity).

Legal and business. We may disclose information if required by law, to protect rights and safety, or as part of a business transaction such as a merger or acquisition (in which case this policy would continue to apply to previously collected data).

We do not sell your personal information, and we never have.

4. Cookies and analytics

We use Google Analytics 4 and Google Tag Manager to understand how the site is used, Google Ads conversion tracking to measure our advertising, and Microsoft Clarity to understand how visitors interact with our pages (such as scrolling and clicks). These tools use cookies and similar technologies. You can control cookies through your browser settings, and you can opt out of Google Analytics with Google's browser add-on. Disabling cookies may affect how the site works.

5. Email and text choices

Emails about your active request (like your shortlist or a host introduction) are part of the service you asked for. Any email containing promotional content includes an unsubscribe link, and you can opt out of updates at any time. For texts, reply STOP to stop receiving messages, or email us. Providing a phone number is always optional.

6. Data retention

We keep booking request information for as long as needed to provide the service and for reasonable business purposes such as measuring what's working, then delete or de-identify it. You can request deletion at any time (see Section 8).

7. Security

We use reasonable technical and organizational measures to protect your information, including encrypted connections (HTTPS) and access controls with our service providers. No method of transmission or storage is 100% secure, so we cannot guarantee absolute security.

8. Your rights and choices

You can ask us to access, correct, or delete the personal information we hold about you, or ask questions about this policy, by emailing privacy@groupstayhero.com. We will verify your request using the email address associated with your booking request and respond within a reasonable time.

California residents: California law provides rights to know, access, correct, and delete personal information, and the right not to receive discriminatory treatment for exercising those rights. Although GroupStayHero is currently below the thresholds at which the California Consumer Privacy Act applies, we honor these requests for everyone as a matter of policy. We do not sell or share personal information as those terms are defined under California law.

9. Children

The service is intended for adults. We do not knowingly collect personal information from anyone under 18. If you believe a minor has submitted information to us, contact us and we will delete it.

10. Changes to this policy

We may update this policy from time to time. The "Last updated" date above reflects the current version, and material changes will be posted on this page.

GroupStayHero is a free service that helps groups connect with vacation rental hosts. All hosts and properties are independent, and GroupStayHero does not own, operate, or guarantee any property. Bookings are made directly between guests and hosts.
